Oral Presentations Guidelines

Speaker Support Centre Hours
The Speaker Prep Room (SPR) is located in Meeting Rooms 1.71-1.73 on the first floor.  The Speaker Prep Room will be open during the hours below, with technicians available to assist you. 

We encourage all oral presenters (invited or abstract) to upload their presentation prior to the congress.

Please note the following:

-   All oral presenters (abstract or invited) are required to be in Cape Town to give their presentation in person.

-   All oral presenters (abstract or invited) are encouraged to upload their presentation prior to the congress.  All                    presentations must be received no later than 30 April 2024, where they will be checked to ensure quality at the venue.      Should there be any queries with your presentation, the AV technicians will contact you directly.

-   Free Paper Oral abstract presentations have been allocated 10 minutes in the programme (7 minutes for 
    presentation followed by 3 minutes for discussion.

-   Invited faculty presenters will find details on the length of their presentation time within their invitation letter. 

-   On your first presentation slide, all presenters are required to disclose all financial interests within the past 12 months
    preceding the congress.  If you do not have a template, click here to download a disclosure template.

-   If you have nothing to disclose, you still need to include a disclosure statement.  Please include on your first slide 
    introduction, “I, (insert name) DO NOT have a financial interest /arrangement or affiliation with one or more 
    organisations which could be perceived as a real or apparent conflict of interest in the context of the subject of this 
    presentation”.

-   All oral presenters (abstract and invited) are asked to check-in at the Speaker Prep Room (Room 1.71-1.74) at least
    2 hours before the session start time to ensure that everything is okay with their presentation.  Presenters                                        should bring a copy of their presentation as a back up on a flash drive.

-   Only MS-PowerPoint (*.ppt and *.pptx) presentation with video formats will be accepted.  Keynote users should
     export as a PowerPoint prior to uploading their presentation.

-   Please note that under no circumstances will personal laptops be permitted.

-   Please create your presentation in 16:9 (wide screen) format. 

-   Embedded files: All embedded files/video clips are to be saved as independent files in the same folder as the
    presentation.  Use as embedded objects, not as linked files. There will be no keyboard or mouse to progress your
    slides, only a wireless presenter (clicker), so please set all media files to start “automatically” and not “when clicked”.
    AV technicians will check fonts, formats, videos and sound. Recommended formats for videos: MP4, Wav.
    Recommended formats for pics: GIF or JPG

-   Abstract presenters, please note that it was a condition of submission that all accepted presenting authors must
    register for the congress.  Please ensure the presenter has completed their registration.

-   Presentations to be sent via www.WeTransfer.com to lizl@easternsun.co.za by 30 April 2024. 

-   Presentations to be saved in the following format: FamilyNameDatePresentationReference. 
    Presentation Reference can be found in the online programme planner here.

AT THE CONGRESS

-   Upon arrival at the Congress venue, please check in at the Registration Desk and collect your name badge.
-   Master Video presenters are asked to check-in at the Speaker Prep Room (Rooms 1.71-1.73) at least 2 hours before
    the session start time to ensure that everything is correct with their presentation.  Please bring a copy of your
    presentation as a back up on a flash drive.
-   Please bring all appropriate adaptors along (MACS: Thunderbolt to VGA converter or mini display port).  
-   As the session will be streamed live, rigorous time keeping will be enforced.


SESSION ROOM SETUP

-   Each session room equipped with a projector and screen, you will be able to control your presentation from the
    podium.
-   Please arrive at your session 15 minutes prior to the published start time and identify yourself to the host or the
    session chair/moderator.
-   To keep to our tight schedule, please keep to the timings in the programme, which includes time for
    questions/discussions. 
-   During your presentation you should select your vocabulary to address as wide an audience as possible and not use
    unfamiliar abbreviations or expressions.
-   Please note that the official congress language is English and all presentations should be given in English.


USE OF IHPBA SCIENTIFIC PROGRAMME CONTENT

Please be aware that the information and materials displayed and/or presented at all session of this congress are the property of IHPBA 2024 and/or the presenter and cannot be photographed, copied, photocopied, transformed to electronic format, reproduced or distributed without the written permission of IHPBA 2024 and/or the presenter.

IHPBA 2024 reserves the one-time copyright for publication of materials provided for inclusion in the proceedings for the congress, which includes audio visual recordings containing presentation materials such as PowerPoint slides.  Presenters are encouraged to include copyright notices as appropriate on all materials submitted and presented at IHPBA 2024.

Presenters should ensure that their contributions contain no matter that is defamatory or is otherwise unlawful or invades individual privacy or infringes on any proprietary rights or statutory copyright.  The presenter agrees that they have received any third party permissions for materials submitted and presented.  IHPBA 2024 and its agents and representatives take no responsibility should the matter presented or provided for publication be determined to defame, libel or slander and individual or organisation, violate the confidentiality of any individual or organisation, or infringe on another’s copyright.

In the event that attendees record and/or stream audio and video, IHPBA 2024 and its agents are not responsible for such capture or for any subsequent use or post of such capture.
